PRIMARY FUNCTION/POSITION SUMMARY
To provide a high quality, professional reception and administrative service to clients of Lyon & Turnbull. To act as the first point of contact for clients contacting the auction house and to portray the company in the highest possible professional basis. To ensure that enquiries from clients are efficiently and courteously handled.
ESSENTIAL JOB FUNCTIONS
- Greet clients/contractors assisting with their requests
- Answering telephone calls, directing calls and taking messages
- Managing the central email inbox
- Follow all procedures for the correct releasing of property and all procedures in accordance with the company policy
- Receiving client goods, completing receipts and labelling goods clearly
- Liaising with departments to raise release notes and relevant paperwork for all collections.
- File all paperwork efficiently and keep all records up to date
- Preparing and sending weekly company minutes
- Ensuring reception area and boardroom is well presented
- Produce forthcoming sales calendar and sale results available for clients
- Excellent communication with other departments, providing onsite support for Department administrators
- Assisting saleroom team with collections
- Maintain a high level of security at all times
- Taking card payments, handling cash and processing online payments
ADDITIONAL JOB FUNCTIONS
- Processing commission bids and telephone bids
- Looking after condition report and image request list, and flagging issues with the specialist dept
- Auction day duties such as clerking results, actioning bids in the room, troubleshooting online bidding enquiries
- Assist specialist departments with condition report requests and replies
- Collating RSVPs to events taking place
- Main contact for updating database.
QUALIFICATION REQUIREMENTS
- Previous front of house/administration experience desirable
- Strong customer service skills
- Computer skills including MS O365 including Excel, Outlook and Teams
